Position summary:
Our customer at Mechelen / Belgium is currently looking for an all-around back-office administrator who has experience working in an international recruitment/engineering environment. The candidate should be accurate, efficient, able to multi-task, prioritize, and brings a positive attitude to an already positive team. This role will be assisting with administration (contracts, HR, and payroll) for the engineers who work on projects within Belgium.

This role will ideally suit someone who can work on their own initiative and who is flexible with a changing environment (not a 9-5 mentality).

In this role it is vita lto be fluent in both Dutch and English as this role requires communication with other offices within Europe.

Key responsibilities:

  • Creating and Sending Contracts;
  • Answering questions from consultants regarding their salary/contract;
  • Hours registration using an ERP system;
  • Payrolling – Coordination with accountant and payroll company;
  • Reviewing and monitoring purchase orders;
  • Interfacing with clients and consultants on a regular basis;
  • Assisting with onboarding and offboarding of consultants;
  • Responsible for keeping both digital and hard copy files up-to-date keeping in line with Company Procedures;
  • Assisting with completion of forms;
  • Maintaining up-to-date spreadsheets;
  • Reporting
  • Reviewing incoming invoices from consultants;
  • Reviewing expense reports;

Education & experience:
• HBO
• Experience working in a recruitment environment;
• Experience working in an international environment;
• Experience working in back-office/HR administration;
• Experience in engineering environment is an advantage but no requirement;
• Experience reading and understanding contracts;
• Must be fluent in Dutch and English both verbally and written

Essential skills:
• Excellent knowledge of Microsoft Office Word, Excel, PowerPoint;
• Experience with an ERP system;
• Flexible without a 9-5 attitude;
• Independent;
• Goal oriented;
• Time Management
• Very accurate;
